Privacy Policy

1. Who we are

The Trio Assist Client Portal (the “Portal”) is provided by Trio Assist, LLC (“Trio Assist,” “we,” “us”), a marketing agency based in Lake Elmo, Minnesota.

The Portal software is built, hosted, and operated on our behalf by MinnSight, LLC (“MinnSight”), which acts as our service provider. MinnSight processes data only to operate the Portal for us and does not use it for its own purposes.

2. What the Portal is

The Portal is a private dashboard for active Trio Assist clients. Signing in shows you your own marketing performance, your agreement details, your current balance with us, and tools to send us content requests and messages. Each client account can see only its own information.

3. Information we collect

  • Account information. Your business name, the contact name and email address used to sign in, your website domain, and your service agreement details.
  • Website and search performance data. We connect to Google Search Console and Google Analytics 4 for the properties you have authorized, and display metrics such as organic clicks, impressions, average search position, sessions, and conversions.
  • Google Business Profile reviews. Where available, we display public reviews of your business.
  • Billing information from our accounting system. See Section 6.
  • Content you submit. Blog post requests, advertising requests, and messages you send us through the Portal, including the name of the person submitting them.
  • Basic technical information. Standard server and security logs generated when you use the Portal.

4. How we use this information

We use it to show you your dashboard, to send you periodic recap emails about your account, to respond to what you submit, to keep your account secure, and to run and improve the Portal. That is the whole list.

5. What we do not do

  • We do not sell, rent, or trade your information.
  • We do not use your information for advertising or share it with advertising networks.
  • We do not show one client’s information to another client.
  • We do not use your accounting or performance data to train machine learning models.

6. QuickBooks Online

This section describes our connection to Intuit’s QuickBooks Online (“QuickBooks”) and is provided in accordance with Intuit’s platform requirements.

Whose QuickBooks connects.Trio Assist connects its own single QuickBooks Online company file. Portal clients do not connect their own QuickBooks accounts, and we never request access to a client’s accounting system. The connection is authorized by a Trio Assist administrator from the Portal’s admin area.

What we read.From our own QuickBooks company file we read customer records and accounts-receivable information — the customer name matching your business, invoice numbers and dates, invoice amounts, amounts outstanding, due dates, and payment status. This lets each client see what they currently owe Trio Assist.

Read-only in practice. The Portal only reads from QuickBooks. It does not create, modify, or delete anything in our accounting records, and it does not initiate, process, or move any payments.

What we do not access. We do not access or store payment card numbers, bank account numbers, card security codes, payroll data, or tax identification numbers through this connection.

Whose data this is.The receivables records are Trio Assist’s own business records. Each Portal client sees only the invoices and balances where that client is the counterparty. No client can see another client’s invoices, balances, or payment history.

How the connection is secured. The credentials Intuit issues for this connection (access and refresh tokens) are stored encrypted, are never exposed in the Portal interface or in any page a user can view, and are used only by our server to retrieve the data described above.

How often we sync. Billing data refreshes on our regular automated sync, which runs once daily, and can also be refreshed manually by a Trio Assist administrator.

Disconnecting. A Trio Assist administrator can disconnect the QuickBooks connection at any time from the Portal admin area at portal.trioassist.com/admin. On disconnection we stop retrieving QuickBooks data, and the stored authorization credentials are deleted.

Deleting QuickBooks data.To request deletion of billing information the Portal has retrieved and stored, contact us at growth@trioassist.com. We will delete it within 30 days, except where we are required to retain records for tax, accounting, or legal purposes. Deleting data from the Portal does not delete anything from Trio Assist’s underlying QuickBooks records, which remain our business records.

7. Where your data is stored and who can reach it

Portal data is stored in a managed PostgreSQL database provided by Supabase, hosted in the United States (US East region). The Portal application runs on Vercel’s infrastructure in the United States.

Access is restricted to Trio Assist administrators and to authorized MinnSight personnel who maintain the system. Client accounts are separated at the database level so that each signed-in client can retrieve only its own records.

We also use Google (Search Console, Analytics, Business Profile), Intuit (QuickBooks Online), and Trello as third-party services. Each handles data under its own terms.

8. How long we keep it

We keep your information for as long as your Trio Assist account is active, and for a reasonable period afterward for business records and legal obligations. You can ask us to delete your Portal data at any time using the contact details below.

9. Security

We use encrypted connections (HTTPS) throughout, authenticated sign-in for every account, database-level access rules that separate client records, and encrypted storage for third-party credentials. No system is perfectly secure, but we take the protection of your information seriously and will notify affected clients promptly if a breach affecting their data occurs.

10. Your choices

You can ask us to show you what information we hold about you, correct anything inaccurate, delete your Portal data, or disconnect a third-party integration. Write to growth@trioassist.com and we will respond within 30 days.

11. Children

The Portal is a business tool and is not directed to anyone under 18. We do not knowingly collect information from children.

12. Changes to this policy

If we make a material change we will update the date at the top of this page and notify active clients by email.
